E-Invoicing Basics

FAQ

Is a PDF an E-Invoice?

A standard PDF is generally not a genuine e-invoice. An e-invoice must contain structured data that can be processed automatically by software.

What's the Difference Between PDF and ZUGFeRD?

ZUGFeRD is typically a PDF with an embedded XML file. The PDF is human-readable, while the XML contains the structured invoice data.

What Is XRechnung?

XRechnung is a structured XML format that is especially relevant for invoicing public-sector clients.

What Is ZUGFeRD?

ZUGFeRD combines a readable PDF with embedded structured invoice data. Internationally, it is often called Factur-X.

Do I Need a Leitweg-ID?

If you invoice public-sector clients, a Leitweg-ID (routing identifier) may be required. It helps the administration route your invoice to the correct recipient.

Can I Keep Using Word or Excel?

For simple templates, this often won't be sufficient in the long run. The key question is whether the output can be turned into a structured e-invoice format.

Do I Need to Upload Files?

Not in the first step. The quick check works without file uploads. A technical file check can be added later if needed.

No. The check provides a technical and organizational initial assessment. It does not replace tax or legal advice.

What Happens After the Check?

You'll receive a straightforward assessment. If you'd like, you can get in touch or have your specific situation reviewed.
